Come
this 22nd day of June 2005, through
a cooperative effort by members of the Circuit
Court Clerk's Office, Commissioner of Revenue's
Office, and the Geographic Information Science
Department the following procedures for the
assignment of new parcel identification numbers
have been established and adopted by all parties
involved:
Clerk's
Office will pull any land transfer documents
from instruments recorded the previous day
These
documents will be copied, marked as copied,
and given to the Commissioner's Office
While
all instruments are being indexed, assigned,
and checked in the Clerk's Office,
Commissioner's
Office will be checking parcel identification
numbers and making any necessary corrections
and new assignments
Commissioner's
Office will make a record of all changes and
will return changes to Clerk's Office by the
end of the business day
Clerk's
Office will make all changes to indexing for
land transfers and all related documents, rescanning
any necessary changes prior to public merge
Clerk's
Office will then draw any parcel changes and
save them to a splits layer
Splits
layer will be provided to GIS Department on
a weekly basis
GIS
Department will use splits layer to update GIS
on a weekly basis
GIS
Update will be provided to Clerk's Office on
a weekly basis
Commissioner's
Office will provide GIS office with a monthly
update of land book
Representatives
from each office will meet monthly to discuss
problems or changes to these procedures
